From a single executive's three-day visit to a full institutional delegation – we make sure your time on the ground in Japan or Czechia delivers measurable outcomes. Right meetings, qualified interpreters, structured follow-up, and someone with you every step of the way.
Most international business travel between Czechia and Japan is short, focused, and highly individual. A managing director flies in for three days to meet a potential supplier. A sales executive comes to qualify a distributor. A founder visits to scope a market entry. These are working trips with limited time and high stakes – and the difference between a productive visit and a frustrating one usually comes down to a few practical things.
Were the right meetings actually scheduled? Did the interpreter understand your industry? Did the conversations get properly captured? Did follow-up happen in the local language after you returned home?
Czech Japan Hub provides hands-on, on-the-ground support – so you can focus on the conversations that matter.
When one or two people from your company travel for a few days with specific objectives – meetings to confirm, partners to qualify, decisions to advance. We handle the logistics so you can focus on the relationships.
We identify the right counterparts, conduct outreach in their language, qualify their interest, and schedule confirmed meetings around your dates. No "let's see if they're free" – every meeting on your itinerary is locked in.
Not just any interpreter – someone with proven experience in your sector. Construction, advanced technologies, food & beverage, finance, life sciences. They understand the terminology, the conventions, and the cultural subtext of how your industry communicates.
Every meeting properly captured – decisions made, action items, contact details, cultural observations. After the trip you receive a structured visit report you can share internally with your team and use to drive follow-up actions.
Before you arrive: counterpart background notes, sector context, cultural protocol guidance, and a clear briefing on what to expect from each meeting. You walk into every conversation prepared.
A Hub team member accompanies you to meetings – facilitating introductions, providing cultural mediation, and adjusting the programme in real time when opportunities emerge. You're never navigating alone.
The trip ends, the work begins. We facilitate post-meeting communications in the local language, send thank-you messages and meeting summaries to counterparts, and help convert promising conversations into next steps.
Whether you're a Czech executive landing in Tokyo or a Japanese manager visiting Prague – our teams on both sides provide the same hands-on support, in your language.
Our Japan team prepares your itinerary, recommends vetted hotels and reliable local transport, briefs you on getting around, and accompanies you to meetings across Tokyo, Osaka, Nagoya, and beyond – ensuring every conversation is properly interpreted and captured.
Our Czech team handles the planning – itinerary, hotel recommendations, local transport guidance – and supports your visit to Prague, Brno, Ostrava, and other Czech cities. Extensions to Germany, Austria, Poland, and Slovakia available by arrangement.
Securing meetings with the right counterparts in Japan takes time – decision-makers' calendars fill up weeks in advance, and trust-building outreach cannot be rushed. We strongly recommend starting trip preparation at least 2 months before your travel dates. Visits to Czechia can typically be arranged on shorter notice, though earlier planning always produces better results.
Capacity is limited. Our hands-on, personal approach means we deliberately work with a limited number of concurrent visits to maintain quality. Members receive priority booking. If your travel dates are flexible, we can usually find a way to support you – early conversation is the key.
When you need more than an individual visit – when a sector group of multiple companies travels together, when a city or region organises an official delegation, when a ministry plans a state-level programme – we design and deliver structured trade missions and institutional programmes in both directions.
Our role is the same as for individual visits, scaled up: agenda design, qualified matchmaking, institutional access, on-site coordination, and structured follow-up – for delegations of any size.
Coordinated programmes for groups of companies sharing a sector focus – construction, automotive, advanced technologies, food & beverage.
Government ministries, regional authorities, chambers of commerce, and trade agencies organising official visits with diplomatic and economic objectives.
Universities, research institutions, and innovation hubs seeking partnerships for joint research, mobility programmes, or technology transfer.
Trade missions are highly customised undertakings – timeline, agenda, and budget vary significantly based on objectives, sector, and delegation size. Coordinating multiple companies, securing institutional access, and aligning calendars across two countries takes months of preparation. We recommend starting the planning process at least 5–6 months before the intended mission dates – more if government-level meetings are involved.
Given the complexity, we always begin with an in-person or video conversation to scope the right programme for your delegation. Get in touch early – the sooner we start, the stronger the outcomes.
We start with your objectives and travel dates. Together we define who you need to meet, what outcomes would make the trip a success, and how to structure your time. Outreach to counterparts begins as soon as the brief is clear.
From the moment you arrive to the moment you leave – we manage the logistics, accompany you to meetings, provide interpretation, and adapt the programme as opportunities emerge. You focus on the conversations that matter.
Structured visit report, post-meeting communications in the local language, and concrete next steps. We help convert promising conversations into signed agreements and lasting partnerships.
Our team led Czechia's participation at EXPO 2025 Osaka, Kansai. The relationships built then – with ministries, embassies, prefectures, and major corporations – open doors that are difficult to access from abroad.
Native-speaker teams in both Czechia and Japan, fluent in all three working languages. We support visits in both directions with the same depth of local expertise.
We don't deliver itineraries – we deliver outcomes. Every meeting is qualified, every counterpart vetted, and every visit measured against the objectives we defined together at the start.
A successful trip is the start of a relationship, not the end. Our Business Desk, Business Matching, and Logistics teams help convert visit conversations into long-term business presence.
